As summer turns to fall, the holiday season is closer than it seems—and it’s never too early to start planning. The holidays bring a special kind of magic, filled with twinkling lights, festive gatherings, and a spirit of gratitude. No matter what you celebrate, this time of year is a chance for workplaces and organizations to come together, reflect on accomplishments, and share joy with their teams. A thoughtfully planned holiday party sets the stage for connection, celebration, and memories that last well beyond the season.

Selecting the Right Venue and Timing

The foundation of a successful holiday gathering is the right venue. Consider not only capacity for your group but also the type of atmosphere you want to create. Will your event feel more impactful in a warm, intimate space or in a larger, more sophisticated setting? Matching the venue to the tone of the celebration ensures the right experience for attendees.

Equally important is timing. Hosting in November or December allows you to take advantage of the holiday season’s energy, but it also means competing for space during a busy period. Alternatively, planning in January or February can provide more availability and value, while offering your team a fresh way to start the year with renewed energy and engagement. Also, how far away do your employees live? Is it more beneficial to plan an event on a weekday? Or perhaps a weekends with hotel rooms included?

Theme, Décor, and Ambience

A clear theme sets the tone for your party and helps guide decisions about décor, lighting, and overall mood and atmosphere. Consider whether you’d like a casual, relaxed environment or a more formal, elevated experience. Theme ideas can range from seasonal favorites like a winter wonderland, candy canes, or holiday cookies, to something simple yet impactful, such as a color palette carried through décor and design elements. Perhaps you want to wrap your celebration in red and green, or maybe embrace the cooler tones of the season that will remind guests of ice and snow in a frozen palace.

Pictured below is our ballroom set for our 2025 Employee Appreciation Party where the theme was "Winter Wonderland." The ballroom was set with seasonal evergreen decor (which is lit with warm, holiday light strands and the uplighting along the walls and centerpieces were lit with blue, cool tones to really encompass the feeling of the season. Linens from a third-party vendor had a subtle lace pattern that was reminiscent of snowflakes. Our elegant chandeliers match the vibe perfectly. A neutral-toned space like ours can also adapt to any theme and completely transform into an all-new vision.

Want to keep it simple? Our evergreen decor is up all season and we include elegant holiday-themed centerpeices with every booking.

Food & Beverage

The dining experience plays a central role in setting the tone of your holiday party. Menus can be designed to complement your theme and enhance the overall atmosphere of the event.

For a more relaxed gathering, consider a buffet-style setup or a spread of passed appetizers to encourage mingling and movement. For a formal event, a plated dinner provides a polished and elegant touch. Beverage service is another important consideration—whether that means offering a signature cocktail, providing mocktail options for inclusivity, or arranging full bar service. Aligning food and drink choices with your event’s style ensures a seamless and memorable guest experience.

Entertainment & Engagement

Entertainment is key to creating a memorable holiday event and should reflect the level of interactivity you want for your group. Options can range from lighthearted activities such as games, raffles, or photo booths, to more structured elements like team-building exercises or charitable giving opportunities. Music sets the mood as well—whether you choose a DJ, live band, or simply background tunes to encourage conversation. Consider incorporating gift exchanges or giveaways to add a festive touch. By blending the right mix of activities and engagement, you can ensure your event is not only enjoyable but also fosters connection and celebration among attendees. The Guest Experience

A successful holiday event centers on the guest experience, balancing comfort, inclusivity, and atmosphere. Consider how the overall vibe—whether casual and festive or elegant and formal—will guide elements such as dress code, seating, and flow of the evening. Accessibility should also be top of mind, ensuring all attendees can comfortably navigate the space and fully participate in activities. Thoughtful touches, from clear communication about expectations to inclusive menu and entertainment choices, help create an environment where every guest feels welcome, valued, and able to enjoy the celebration.
