Returns Program Policies
General Membership
- Returns membership and its benefits are offered at the discretion of The Madison Concourse Hotel (hereafter referred to as “The Hotel”). The Hotel has the right to change, limit, modify or cancel program rules, policies, rewards, and reward levels at any time, with or without notice, even though such changes may affect the value of points already accumulated, the ability to use accumulated points, or the ability to obtain certain rewards.
- The Hotel has the right to end the Returns Program by providing written notice to its members six months in advance of program termination. In that event, the right to redeem points for rewards may end one year after notification, no matter the extent of member participation in the program.
- An account may be closed at the Hotel’s discretion if no points are accrued during an 18-month period. All points in the account will be forfeited at that time.
- Points and rewards earned through participating in the Returns Program may be subject to tax liability. Any tax liability, including disclosure, connected with the receipt of membership points or rewards is the responsibility of the member.
Conditions of Enrollment
- Only individuals are eligible for Returns membership, and each individual may maintain only one account. Corporations, groups and/or associated entities cannot enroll as Returns members.
- Accrued points do not constitute property of the member. Points accrued by a member are for the member’s benefit only and may only be transferred to a legal spouse or civil partner. Points are not transferable to another person for any other reason, including divorce or inheritance.
- If more than one membership number is assigned to an individual, the member will only receive points for one account. Duplicate accounts will be combined.
- When traveling on business, it is the member’s responsibility to comply with his or her company policy concerning travel programs.
Account Activity
- A “guest room stay” or “stay” means all consecutive nights at the Hotel where the member registers and stays at the Hotel.
- Members are responsible for ensuring that points are properly credited. If proper credit does not appear on the member’s activity statement, the member should contact the Hotel by telephone, e-mail, postal mail or fax. - Correction requests to add or modify a guest room stay at the Hotel must be submitted to the Hotel within six months of the guest room stay.
- Contact the Hotel at 800-356-8293 if your membership card is lost or stolen. Lost membership cards may be subject to a $10 or 100 point replacement fee.
- Quarterly membership activity statements will be sent to all Returns members.
Earning Points
- Points will not be earned for a guest room stay made prior to the date the member’s application was processed as shown in our records. No retroactive credit will be given.
- A member is eligible to receive points for staying at the Hotel for his/her guestroom only. To ensure points are automatically posted to a member’s account, the member should present his/her Returns membership card at check-in.
- No other person, except the member, may earn points for his/her account. Points for a room shared by two Returns members will only be awarded to the member who is listed as the primary registrant on the guest room.
- Points are awarded at one point per one U.S. dollar spent. Points are awarded for guest room rate only. Taxes, incidental charges, and food and beverage purchases do not qualify for points.
Rewards
- The rewards structure is subject to modification, cancellation, or limitation at the Hotel’s discretion, with or without notice. The number of points required to redeem any reward may be increased, any reward may be withdrawn, and restrictions on any reward or its redemption may be imposed at any time.
- Redemption order forms are required to redeem points. Forms may be requested from the Hotel by telephone, e-mail, postal mail, and fax.
- Allow 10 business days for paper certificate delivery within the United States and allow 20 business days for International locations.
- Allow 30 business days for apparel or merchandise to be delivered within the United States and allow 40 business days for International locations.
Reward Certificates
- Rewards are valid only in connection with individual travel and are not applicable to group travel, package tours, conventions, or other special rates and/or package programs.
- Reward certificates are valid through the date printed on the certificates.
- Certificates will be issued for all guest room and dining related rewards.
- Any changes to, re-issuance of, or returned hotel reward certificates may be subject to a service fee.
- Allow 10 business days for paper certificate delivery within the United States and allow 20 business days for International locations.
